
Aruba invests in operational excellence with the upgrade to SAP S/4HANA

Aruba S.p.A., founded in 1994, is the leading Italian provider of cloud services, data centers, hosting, email, domain registration, and certified email (PEC). The company, entirely Italianowned, serves 16 million users and operates a vast infrastructure across 7 data centers, hosting over 2.7 million registered domains, 9.8 million email accounts, 9 million PEC
mailboxes, and thousands of customer IT infrastructures. In its 30 years of operation, the company has developed extensive expertise in designing and managing high-tech, proprietary data centers distributed throughout Italy. Aruba implements energy efficiency solutions in its data centers, demonstrating its commitment to sustainability, and also produces clean energy through photovoltaic systems and hydroelectric power plants. Its infrastructure network also extends across Europe, with a proprietary data center in the Czech Republic and partner facilities in France, Germany, Poland, and the United Kingdom.
SAP S/4HANA in Aruba
In line with its technological vocation and ongoing commitment to innovation, Aruba’s internal SAP Competence Center serves as a true benchmark in the management business processes through SAP solutions. Backed by deep expertise in both core processes and complex application architectures, the team has successfully led the
implementation and evolution of the company’s key operational workflows within SAP S/4HANA.
Thanks to close collaboration with highly qualified partners, Aruba has fully integrated core processes such as Administration, Finance, Controlling, and Procurement, subsequently extending the adoption of SAP solutions to the most distinctive areas of its business model. Among these are Sales activities, which Aruba manages across multiple
fronts: from Enterprise clients to small businesses and individual customers.
In particular, Enterprise clients entrust Aruba with the comprehensive management of their data centers, including complex SAP infrastructures. The entire process is managed using SAP S/4HANA.
For individual users, SAP S/4HANA enables the fully integrated management of all backoffice operations, including the sale and renewal of essential digital services like Certified Email (PEC) and website hosting.
Aruba’s success in adopting and expanding SAP is not merely technological: it reflects a strategic vision that positions the ERP platform as a driver of innovation and for delivering increasingly advanced and customized services to its clients.
The challenge
In a constantly evolving technological landscape, keeping a mission-critical system like SAP S/4HANA up to date and fully operational is essential. Used daily by hundreds of users and integrated within a sophisticated application architecture, the system must be continuously aligned with emerging business needs to ensure continuity, efficiency, and sustained operational excellence.
The project
To ensure the platform remained up to date, fully supported, and aligned with the ongoing evolution of the business, Aruba relied on Syscons to manage the upgrade to the new release of SAP S/4HANA. The objective was to mitigate the risk of technological obsolescence and avoid the potential impacts on operational efficiency that an outdated
system could generate over time.
The initiative went beyond merely addressing technical challenges, such as potential changes in the behavior of standard SAP applications or the complexity of adapting preexisting custom code. Instead, Aruba chose to leverage this transition as an opportunity to actively drive innovation by introducing enhancements that would tangibly improve
operational productivity.
A central element of this approach was the setup of SAP Fiori, designed according to modern, user-centric design principles, featuring a simple and intuitive layout.
The benefits
The S/4HANA upgrade enabled Aruba not only to update the core of its management system, but also to lay the groundwork for a transformation in user experience making interaction with SAP more intuitive, modern, and effective, with tangible benefits in terms of operational agility, productivity, and user satisfaction in day-to-day use.
At the same time, significant attention was dedicated to enhancing the system’s overall security and performance, with the understanding that the reliability and responsiveness of the ERP infrastructure are critical to supporting mission-critical processes.
Another distinctive element of the project was the exploration of SAP Cloud ALM, SAP’s cloud-based Application Lifecycle Management platform. Used to manage the upgrade project in a structured manner particularly the project management and Regression Testing phases SAP Cloud ALM provided greater visibility, control, and traceability
across all activities, improving governance efficiency and mitigating risks associated with the introduction of new features.
This project represents a strategic step forward in Aruba’s journey toward continuous innovation, reinforcing the company’s ability to evolve its digital services with speed, security, and a forward-looking mindset.
